Payroll deductions do not settle every tax situation.

Your employer may already deduct wage tax. A tax return brings the year’s relevant information together; the tax office’s assessment can result in a refund or an additional payment. A refund is not guaranteed simply because you file.

Some people must file; others can apply voluntarily. Official examples of filing triggers include simultaneous employment with several employers, certain other income or wage-replacement benefits over €410, and specified married-couple payroll arrangements. The complete rules have conditions and exceptions. Use the linked tax-office guidance to check your situation rather than treating this short list as a decision tool.

If the Finanzamt has asked you to submit a return, section 149 of the Fiscal Code also provides for a filing obligation. Read that letter and its deadline. Do not replace an individual request with a general date found online.

Which deadline are you looking at?

“Tax return 2025” means the return for the 2025 tax year. It does not mean every deadline falls in 2025. These are three common examples checked against the current NRW tax-authority guidance:

SituationTax yearGeneral deadline
Required return, prepared yourself202531 July 2026
Required return, prepared by an authorised tax adviser or qualifying assistance association20251 March 2027
Voluntary employee assessment, where no filing obligation applies202231 December 2026

These examples are not a personal deadline calculation. Earlier tax-office requests, special cases and an individually granted extension can change the position. Voluntary filing generally has a four-year window after the tax year; it does not extend the deadline of a required return.

The first date has already passed. This guide was checked on 26 October 2026. If you were required to file your own 2025 return and have not done so, contact the tax office or an authorised adviser promptly. An extension should not be assumed.

Build a folder for the year before you build the return.

Use the checklist to organise your next steps. A tick means you have dealt with that preparation task. It does not confirm that your return is complete or correct. Keep actual documents in your own secure records.

The ticks stay in this page only. This checklist does not save or send them and does not ask for amounts, documents or personal identifiers.

Do not confuse the payslip with the annual wage statement.

The Lohnsteuerbescheinigung summarises the employer’s reported annual wage-tax information. ELSTER explains that the employer transmits it electronically and provides the employee with a printout or electronic version. Use the statement for the correct year and retain any corrected version.

Keep evidence; follow the form’s instructions about sending it.

ELSTER’s 2025 instructions say that supporting receipts generally do not have to accompany the return. Keep them for queries. Submit them when the form or instructions expressly require it, or when the tax office asks. “I do not need to attach it now” is different from “I do not need a record”.

For family-related preparation, the Kindergeld guide explains the application records and the child-allowance comparison. For religious-tax entries, the church tax guide explains the payroll record and deduction rules.

Choose a route that covers the whole situation.

Mein ELSTER is the tax administration’s online portal. It requires a user account and supports income-tax forms. Commercial software can also transmit through ELSTER. Language, price and the types of income supported are separate things to compare.

Check the assessment and respond to any request.

A simplified interface can be useful, but check its eligibility conditions. ELSTER offers different services for different circumstances. A product being easy to use does not establish that it covers foreign income, self-employment or every family situation.

Moving across borders deserves its own set of notes.

Write down when you moved, where you lived during the year and what income arose in each country. Keep foreign statements alongside the German records. Those notes help you ask a precise question; they do not establish residency, treaty treatment or a tax exemption by themselves.

If your situation spans countries, ask whether the chosen software supports it or take the records to an authorised tax professional. A nationality label such as “expat” is not a tax classification.

After submitting, watch for the assessment.

The return is your submission; the Einkommensteuerbescheid is the tax office’s assessment. Read the result, the explanations and any payment or response instructions. Check unexpected differences against the return you kept. If something looks wrong, address it promptly using the notice’s instructions.

Questions that come up often

Will I definitely get money back?

No. The assessment can show a refund or an amount to pay. This guide does not estimate either.

Can I use the four-year window if I was required to file?

Do not assume that. The four-year example above concerns voluntary filing where no filing obligation applies. Establish your filing status first.

Does a tax class tell me whether I must file?

Certain payroll arrangements can be relevant, but the class alone is not a complete filing check. Read the conditions in the official guidance and consider the rest of your circumstances.
